We collect information that you voluntarily provide to us when you register for the Service, and information automatically collected when you use our Kiosk application.

A. Account Information (Employers)

When an employer or business creates an account, we collect:

  • Business Name
  • Contact Name
  • Email Address
  • Billing Information (processed by our secure payment processors)

B. Employee Data & Photos (Kiosk Users)

When an employee uses the Credvana Kiosk to clock in, clock out, or complete tasks, we collect:

  • Employee Name & PIN: Provided by the employer to identify the user.
  • Photographs: We collect a photo of the user at the time of action (e.g., clock-in) for identity verification purposes.
  • Timestamps & Activity Logs: Records of when actions were taken.
  • IP Address: The internet protocol address of the network where the Kiosk is located.

Important Note on Photos: We store photographs solely for the purpose of allowing the employer to verify the identity of the person using the Kiosk. We do not use facial recognition software to generate biometric templates from these photos, and we do not sell or share these photos with third parties for marketing purposes.

2. How We Use Your Information

Having accurate information permits us to provide you with a smooth, efficient, and customized experience. We use collected information to:

  • Provide the Kiosk functionality (time tracking, task verification).
  • Create and manage user accounts.
  • Email you regarding your account or order.
  • Fulfill and manage purchases, orders, payments, and other transactions.
  • Generate reports for employers regarding employee activity.
  • Prevent fraudulent transactions and monitor against theft (e.g., “buddy punching”).
  • Compel compliance with mandatory employer notices.

We may share information we have collected about you in certain situations. Your information may be disclosed as follows:

A. With the Employer

All employee data, including timestamps and verification photos, collected via a specific employer’s Kiosk is accessible to that employer’s authorized managers and administrators.

B. Third-Party Service Providers

We may share your information with third parties that perform services for us or on our behalf, including payment processing, data analysis, email delivery, hosting services, and customer service.

C. By Law or to Protect Rights

If we believe the release of information about you is necessary to respond to legal process, to investigate or remedy potential violations of our policies, or to protect the rights, property, and safety of others, we may share your information as permitted or required by any applicable law, rule, or regulation.

4. Security of Your Information

We use administrative, technical, and physical security measures to help protect your personal information. While we have taken reasonable steps to secure the personal information you provide to us, please be aware that despite our efforts, no security measures are perfect or impenetrable, and no method of data transmission can be guaranteed against any interception or other type of misuse.

Employee photo data is typically retained only as long as the employer’s account is active or as required by their internal policies.
